Terms of service
Overview
Venue Hub is an online platform that enables customers to discover and book sports facilities by the hour.
The Venue Hub platform is owned and operated by Downshire Systems Ltd, a company registered in Northern Ireland under company number NI741770, with its registered office at Office 1790, 92 Castle Street, Belfast, Northern Ireland, United Kingdom, BT1 1HE.
Downshire Systems Ltd works with [full registered legal name of Falcon Arenas], its UAE commercial and payment partner, to support bookings and receive customer payments through the platform.
These terms govern your use of the Venue Hub platform and the booking services described below. References to “we”, “us” and “our” mean Downshire Systems Ltd unless another company is expressly identified.
The business responsible for supplying your facility booking, together with any applicable venue conditions, will be identified before payment and in your booking confirmation. Downshire Systems Ltd remains responsible for its own platform services, and each partner remains responsible for the obligations it undertakes.
1. Our role and your booking contract
Venue Hub provides the website, booking process and customer support for bookings made through the Services.
Venue Hub acts as a booking agent:
Venue Hub arranges bookings as an agent for the venue operator identified before payment and in your booking confirmation. Your contract for facility hire is with that operator. Venue Hub remains responsible for its own booking and payment-handling services.
Any additional venue conditions affecting your booking will be made available before payment. Venue rules cannot remove rights you have under applicable law.
2. Accounts and booking eligibility
You must be at least 18 years old to make a booking. Participants under 18 must have any parental consent and adult supervision required by the venue.
You must provide accurate and current contact, booking and payment information. You are responsible for keeping your account credentials secure and notifying us if you suspect unauthorised access.
If you book on behalf of a team, club, business or another person, you confirm that you have authority to make that booking.
3. Facilities and availability
Facilities are offered for hire for the activities, dates, times and durations shown during the booking process.
We take reasonable care to keep facility descriptions, photographs, amenities, prices and availability accurate. Photographs are illustrative; the description and features confirmed for your booking form part of what you can expect.
Only equipment and services expressly included in the listing or booking confirmation are included in the booking price.
Please contact us before booking if you need to confirm accessibility, equipment, capacity or suitability for a particular activity.
A facility is not reserved merely because it appears in search results or has been added to your basket.
4. Making and confirming a booking
Before paying, check the venue, facility, activity, date, start time, duration and total price carefully.
A booking becomes confirmed when payment has been successfully processed and we send you a booking confirmation. A payment acknowledgement alone does not confirm a booking unless it expressly says so.
All booking times refer to the local time at the venue.
If payment is collected but the booking cannot be accepted, we will notify you and refund the full amount collected.
Contact us promptly if you do not receive a confirmation or notice an error in your booking details.
5. Hourly rates and payment
Facilities are charged at the hourly rate and for the duration displayed during booking. Any minimum duration or booking increments will be shown before payment.
The applicable currency, taxes and any additional compulsory fees will be disclosed before you pay. Your booking confirmation will show the total price.
Full payment is required to confirm a booking unless we expressly agree otherwise.
You confirm that you are authorised to use your chosen payment method.
Prices and promotions may change for future bookings. Later price changes do not affect a confirmed booking.
6. Facility access and use
Your booking permits use of the confirmed facility for the agreed activity and time period only. It does not include exclusive use of other areas of the venue unless expressly stated.
Follow the access instructions provided with your booking. Setup, changing equipment and pack-down must take place within the booked period unless the venue expressly allows otherwise.
Arriving late does not automatically extend your booking or entitle you to a refund. You must finish your activity and vacate the facility promptly when your booking ends.
You and your participants must:
-
Follow venue rules and reasonable instructions from staff.
-
Use the facility only for the booked activity.
-
Observe participant and spectator capacity limits.
-
Wear suitable clothing and footwear and use equipment appropriately.
-
Provide any required adult supervision for children.
-
Avoid conduct that is unsafe, unlawful, abusive or disruptive.
-
Leave the facility reasonably clean and tidy.
You must not resell your booking, sublet the facility or use it for an event or activity outside the confirmed booking without prior written agreement.
The booking organiser must communicate relevant venue rules and access instructions to participants.
7. Safety, damage and personal belongings
You and your participants should take reasonable care during sporting activities and follow applicable safety instructions.
Do not use a facility or equipment that appears unsafe. Report hazards, defective equipment, injuries or damage to venue staff promptly.
You may be responsible for reasonable, evidenced repair or replacement costs for damage caused by your negligence or misuse. You are not responsible for normal wear and tear or pre-existing damage.
Please look after your belongings. Responsibility for loss or damage will be determined under applicable law; these terms do not exclude liability where it cannot lawfully be excluded.
8. Cancellations, changes and refunds
Customer cancellations and refunds are governed by our separate Refund & Cancellation Policy, available on our website and before payment.
Booking changes, including changes to the date, start time, duration or facility, require confirmation from us and are subject to availability. A requested change does not alter the original booking unless we confirm it.
If Venue Hub or the venue operator cancels your booking, or the booked facility is unavailable, you may receive a full refund or agree to reschedule, as explained in the Refund & Cancellation Policy.
We will not substitute a materially different facility or time without your agreement.
9. Closures and interruptions
Weather, safety concerns, maintenance, utility failures or other circumstances may prevent a facility from being used.
We will notify you as soon as reasonably possible if we become aware that your booking is affected.
If your session cannot take place, the venue-cancellation provisions in our Refund & Cancellation Policy apply. If a session is materially interrupted or only partly provided, contact us so that we can arrange an appropriate remedy, including any refund required by law.
We do not guarantee a particular weather condition for outdoor bookings.
10. Acceptable website use
You must not:
-
Make fraudulent bookings or provide deliberately misleading information.
-
Attempt to access another person’s account or payment details.
-
Upload malicious software or interfere with the website’s security.
-
Use automated systems to reserve time slots unfairly or disrupt availability.
-
Copy, scrape or commercially exploit website content without permission.
-
Harass staff, venue operators or other customers.
-
Use the Services for unlawful purposes.
We may restrict access or suspend an account where reasonably necessary to address fraud, security risks or serious or repeated breaches of these terms.
Account suspension does not automatically cancel existing paid bookings or remove any refund rights. We will explain how affected bookings will be handled.
11. Intellectual property and reviews
Website content, branding, photographs, text and other materials belong to Venue Hub or their respective owners or licensors.
You may use the website to browse facilities and manage legitimate bookings. You must not reproduce or commercially exploit its content without permission, except where permitted by law.
You retain ownership of reviews or other content you submit. You give us a non-exclusive, royalty-free licence to display, reproduce and format that content for operating and promoting the Services.
Reviews must reflect genuine experiences and must not contain unlawful material, disclose another person’s private information or infringe anyone’s rights. We may remove content that breaches these requirements.
12. Third-party services and links
The website may use third-party services for functions such as payment processing, maps and communications. Relevant third-party terms may apply to those services.
External website links are provided for convenience. We do not control the content or practices of external websites.
Using third-party technology does not remove our responsibility for our own contractual obligations.
13. Privacy and communications
Our Privacy Policy explains how we collect, use, store and share personal information, including information needed to process bookings and arrange venue access.
We may send booking confirmations, reminders, access instructions, cancellation notices and other service communications using the contact details you provide.
Marketing communications are handled separately in accordance with applicable law and your preferences.
14. Errors and website availability
We take reasonable care to operate the website reliably but cannot guarantee uninterrupted access.
If we identify an error affecting a booking, we will contact you promptly. We will not impose a higher price or a materially different booking without your agreement.
If an error means a confirmed booking cannot be honoured, we will offer an appropriate alternative for your agreement or a full refund.
15. Our responsibilities and liability
We will provide our Services with reasonable care and skill and honour our responsibilities under your booking contract.
We are responsible for loss or damage that is a foreseeable result of our breach of these terms or our failure to exercise reasonable care and skill.
We are not responsible for loss caused solely by your breach of these terms, your negligence or circumstances for which we have no legal responsibility.
Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation or any other liability that cannot lawfully be excluded or limited.
Nothing in these terms removes any statutory right to a refund, compensation or another remedy.
16. Changes to these terms
We may update these terms for future use of the Services and future bookings. The current version will be published on our website.
Unless required by law or agreed with you, the terms in effect when your booking was confirmed will continue to apply to that booking.
17. General provisions
If part of these terms is found to be unenforceable, the remaining provisions will continue to apply.
A delay in enforcing a provision does not mean that we waive our right to enforce it later.
These terms, the applicable booking confirmation, the Refund & Cancellation Policy and any venue conditions disclosed before payment form the agreement relating to your booking.
We may transfer our rights and obligations to another organisation only where doing so does not reduce your contractual rights. We will notify you if this affects an existing booking.
18. Governing law and disputes
These terms are governed by the laws of Northern Ireland, subject to any mandatory laws and consumer protections that apply to your booking or the venue.
The courts of Northern Ireland may hear disputes relating to these terms. This does not prevent you from bringing a claim in another court where applicable law gives you that right.
Please contact us first if you have a complaint so that we can try to resolve it.
